Academic Success Coach
GENERAL SCOPE OF POSITION:
Reports to the Associate Vice Provost, Dean of Student Academic Services. The Academic Success Coaches in the Center for Academic and Student Achievement (CASA) represent the key resource in the University's academic coaching and student support system, by serving a university-wide undergraduate population of over 6,800 students. Success coaches work in partnership with faculty and other staff members of the University in support of the developmental advising and integrated education models. In this context, success coaches work as generalists to guide all students in seeking an undergraduate degree in their program of study.
As a member of the larger staff in Student Life, each Academic Success Coach supports student development in the Jesuit Catholic tradition. The mission of Student Life is to fully support holistic student development within a social justice framework centered in preparing students to be caring, socially responsible citizens in our global and local community.
Each success coach will be responsible for a caseload of approximately 500 students. The success coach carries out this responsibility in collaboration with other staff in CASA, other offices on campus (e.g. Admissions; One Stop; Financial Aid; Student Housing and Residential Education; Office of Student Conduct Rights and Responsibilities; Counseling and Psychological Services; Student Disability Services; Career Services), and with the leadership of student organizations whenever appropriate.
Full Job Description:
The primary focus of this position is to provide support to meet the needs of USF's diverse student population. The objective of such intentional support is to help create a sense of community and awareness/sensitivity that increases the retention and persistence of all students and, in particular, our most vulnerable students. The success coach will support current programming and help to create new initiatives based on the highest need related to current retention and persistence data.
To accomplish this, CASA's academic success coaches:
- Empower students through coaching to achieve academic success.
- Provide a supportive environment that promotes personal growth and the values of a Jesuit education.
- Connect students to academic programs and resources on campus designed to support their success.
- Help students develop skills to successfully meet the demands of USF's rigorous curriculum.
Academic Success Coaches employ a developmental and culturally appropriate framework and methodology to work with students in areas such as:
- Assisting students in navigating myUSF (academic transcript and DegreeWorks) to understand their graduation requirements
- Monitoring and tracking student progress to stay on track to graduate, and referring students to faculty advisers for advising in their major or minor programs
- Targeting outreach to various student populations to support and engage their transition into the USF community, with sensitivity around issues that affect diverse cultural, socioeconomic, and international student populations
- Outreaching to high-risk/students in crisis, (and families, as appropriate), to promote early intervention and support
- Discussing options for declaring majors and minors, and referring students to appropriate departments
- Collaborating with other campus support offices and assisting students to connect with campus resources
- Outreaching to students who are on a leave of absence; assisting in plans to return to USF
- Holding weekly drop-in hours in the residence halls or other campus locations based on student caseload
- Monitoring the academic progress of students on Academic Probation; fulfillment of probation contract requirements, and implementation of Back-on-Track program strategies
- Providing guidance to develop students spiritually, intellectually, emotionally, socially, and culturally, in order to prepare them to contribute to the University community and beyond
- Applying new and innovative technology (such as knowledge of Salesforce or another CRM platform) to create efficiencies for student outreach and student support programs
- Utilizing Salesforce and other platforms to identify persistence trends in student caseload
Collaborate with other offices on campus to help students meet their academic goals. Academic Success Coaches work with other offices on campus such as:
- The Graduation Center, One Stop, and Registrar's Office to assist with class registration, clarify transcript issues, and troubleshoot problems related to graduation checks
- International Student and Scholar Services (ISSS), Academic English for Multilingual Students (AEM), and Strategic Enrollment Management (SEM) staff on recruitment priorities and retention strategies, establishing a welcoming experience for international students, including presenting at Admissions or New Student Orientation events
- Financial Aid to clarify student's class standing, decisions about academic programs and progress as they relate to financial aid packages, etc.
- Student Housing and Residential Education office and Office of Student Conduct Rights and Responsibilities regarding support for students experiencing academic and behavioral difficulties to develop outreach programs (e.g. residential learning communities)
- Student Disability Services (SDS) and Counseling and Psychological Services (CAPS) regarding support for students with mental health and/or other disabilities, as appropriate
- The Priscilla A. Scotlan Career Services Center on advising students regarding their career plans, particularly undeclared students and exploratory students
Work with faculty advisers in the Colleges and Schools to help students with academic related issues. Academic Success Coaches work with faculty to:
- Collaborate on key academic status issues related to their assigned advisees (e.g. academic probation, disqualification)
- Provide information and resources to coach students effectively
- Discuss and resolve issues related to student success when students are referred by faculty
- Proactively communicate issues in the classroom, specifically through our Early Alert notification system or Red Folder incident reporting tool as appropriate, about a student's academic progression
Work as part of a team with other CASA staff on common projects such as:
- Implementing and maintaining consistent policies and standards related to academic coaching and personal support
- Providing support services to all students, making accurate assessments of student needs, and effectively referring students within and beyond CASA
- Assisting in planning, implementation, and evaluation of New Student Orientation, Webtrack, Early Alert progress reporting, first-year transition survey, or related programs throughout the academic year
- Supporting the Major/Minor Fair in particular, and other workshops, events and fairs throughout the year
- Participate in internal and other University wide committees, working groups, etc. as requested by AVP/Dean
- Collaborating with appropriate university offices to facilitate effective outreach to specific student groups (e.g. first generation, undecided/exploratory students)
- Strengthening cultural competencies and their application in a variety of contexts
- Pursuing professional development opportunities (e.g. NACADA, NASPA, ACPA; etc.) for the purposes of improving academic coaching skills and providing resources for university staff and faculty development efforts
- Cross-training with staff between CASA and Student Life, including other Academic Success Coaches, Resident Advisers and Resident Directors
- Possible participation in USF 101 course for all incoming first-year students
- Some evening and weekend assignments where Academic Success Coaches will be expected to work in a variety of locations across campus, including offices, classrooms, residence halls, library, and other student facilities.
- Master's degree required; higher education, student affairs, or counseling degrees preferred;
- Knowledge of and ability to apply student development theory, with an emphasis on developmental education and advising or academic coaching preferred; knowledge and experience working with students of diverse backgrounds essential;
- A minimum of three years of experience in a higher education advising-related capacity;
- Ability to effectively and efficiently manage complex student cases, on an individual and/or group basis;
- Knowledge of NCAA regulations and experience supporting student athletes preferred;
- Bilingual speaker preferred;
- Demonstrated knowledge of implementing multiculturalism strategies on a college campus based on best practices in the field;
- Excellent written and oral communication skills with a proven ability to interact effectively and professionally with students, faculty, families and administrators from diverse backgrounds;
- Proficient in computer skills including word-processing, email, and ability to learn web-based and database advising applications;
- Demonstrates proficiency in the use of learning technologies.
