Simmons University is looking for an Assistant Director of Admission (Assistant Director) to join the College of Social Science Policy and Practice (CSSPP).

Job Summary

The Assistant Director will represent the School of Social Work programs and the Master in Public Policy program to prospective students, applicants and institutions at recruitment activities and events. Under the supervision of the Director of Admission, the Assistant Director of Graduate Admission for the College of Social Science Policy and Practice (CSSPP) manages communications plans for prospective students, assists in oversight of Slate CRM, participates in recruitment travel, organizes recruitment events including information sessions, manages changes to admission webpages, manages the Alumni and current students Ambassador Programs, collects financial documentation for international students, and coordinates I-20 paperwork with the Center for Global Education. In coordination with the Director of Graduate Admission the Assistant Director also reviews applications for admission.

Essential Responsibilities:

Admissions Operations and Reporting
  • Oversee communications with prospective students in partnership with Admission Director;
  • Manage the decision letter process: process decisions in Slate CRM, create and release decision letters;
  • Create monthly enrollment reports and data reports as needed;
  • Serve as point of contact for non-degree, pre-matriculated, and post-master's applicants;
  • Communicate with admitted and newly deposited students in an effort to positively affect yield rates.


Communications and Website
  • Work with Director to develop communication plans for inquiries, applicants and deposited students;
  • Implement and maintain of Slate campaigns and communication plans for prospects, applicants, and incoming students;
  • Work with marketing to create and implement new email templates, and evaluate campaign success;
  • Maintain communication in event templates (invitations, confirmation, reminder, post-attendee, etc.);
  • Serve as point person for maintaining admission web pages, updating application information, monthly event listings and provides input on all admission publications.


Recruitment Travel and Alumni and current students Ambassador Programs Oversight
  • Conduct informational interviews for prospective and admitted students;
  • Domestic recruitment travel including participation in graduate school fairs and individual informational meetings;
  • Recruit recent graduates and current students to serve as Ambassadors (e.g. participate in information sessions, graduate school fairs, and to serve as contacts for prospective students;
  • Maintain communications with Ambassadors (e.g. upcoming events and volunteer opportunities).


Additional Responsibilities
  • Participate in organization and team-related responsibilities including admissions annual retreat(s), staff meetings, Enrollment Management meetings, monthly information sessions, etc.;
  • Organizes class visits for prospective students;
  • Coordinates and implement alumni projects in support of yield initiates;
  • Assist with office email, mail, and phone when necessary;
  • Support departmental operations as needed (i.e. processing mail, front desk help, mailings, etc.).
  • Oversee hiring, training, and supervision of student workers;
  • Serve as point person for international applicants: collects and submits appropriate financial documentation; process I-20 requests; serve as liaison to international student advisor to ensure registration requirements are met, and communicate new international student information to Student Life at the beginning of each semester.


Qualifications:
  • Bachelor's degree or equivalent work experience required;
  • Minimum of two years' relevant work experience required in a professional environment focused on customer or student service required; experience in admissions or enrollment management preferred;
  • Proven track record of successful collaboration with individuals in other offices/business units, as well as ability to work independently;
  • Strong time management and problem solving skills, including ability to adapt in new and rapidly changing situations;
  • Proficiency with Microsoft Office and presentation software;
  • Experience with a CRM, preferably Slate;
  • Comfort with online webinar technology (i.e. Zoom, Adobe Connect, Webex, GoToMeeting, Skype);
  • Excellent customer service and interpersonal skills;
  • Customer service experience in admission and management preferred;
  • Valid Driver's License required.
  • Ability to travel required; typically, in the fall for one to three days at a time;
  • Ability to work occasional evening and weekend hours during periods of high volume through the annual admissions cycle.
