Job Summary:
Under the general supervision of the Director of Operations, the Assistant Director provides critical administrative support for the Data Institute (DI). The Assistant Director provides essential functions to support the execution of the certificate programs, corporate and nonprofit member engagement and budget management of the DI. In achieving those goals, the Assistant Director provides adept, problem solving, results-driven administrative support.

The Assistant Director for DI will work with the Director of Operations and Executive Director in carrying out all daily DI efforts with a focus on efficiency, effectiveness, and the pursuit of excellence. In fulfilling that charge, the Assistant Director will take into account the overall best interests of the College by working with other units to ensure the best and highest use of the College's resources.

Full Job Description:
Essential Job Responsibilities for the Data Institute:
Recruit and counsel prospective certificate students on program options,
requirements, policies, and procedures of admissions process;
Administer certificate admissions process in collaboration with Director of
Operations;
Process applications, including the application evaluation and proactive
consultation with the Director of Operations regarding questions/concerns about
an applicant;
Manage day-to-day operations of certificate programs admissions, including
pipeline management, application processing, process efficiency evaluation,
admissions event planning, and external communications;
Input, revise and maintain data for DI certificate programs;
Assist with the development of annual enrollment targets in coordination with the
Director of Operations;
Develop and manage short- and long-term outreach and recruitment plans to
meet annual revenue goals in collaboration with the Director of Operations;
Develop and execute marketing for the certificate programs (creation and
dissemination of marketing materials, and social media posts, analytics after
mailings and marketing campaigns to determine open and click rates), with
approval from Director of Operations;
Use mastery of DI certificates to counsel prospective students on prerequisites
and all matters related to their application status;
Research current and future trends and companies in order to source new
individual and corporate contacts for a variety of engagement opportunities;
Develop deep knowledge of the local data science community, its educational
needs, and comparator programs and institutions;
Communicate and build professional relationships with corporate, not-for-profit,
educational and community partners;
Gain command and familiarity with the faculty expertise and industry subject
matter experts affiliated with the DI to counsel clients and DI corporate,
government and nonprofit members on training and workshop options;
Collaborate with the Director of Operations on strategic planning for public
programs and conferences for the DI;
Ensure that the DI mission is carried out through all operational aspects of the
budget planning process;
Review and analyze the DI's expense and revenue budget;
Develop and present DI's quarterly budget to the Executive Director;
Identify budget issues and develop solutions as they arise;
Track all funding sources private grants, donations, membership fees,
consulting payments, certificate tuition and training contracts through Banner
Finance and Tableau and support Director of Operations in managing their
resources and expenses effectively;
Develop, and adhere to, best practices for maximizing the effective use of funds;
Represent the DI in external-facing situations and events;
Assist Executive Director and Director of Operations in drafting of grant
applications;
Provide excellent client service to all DI corporate, government and nonprofit
members concerning membership benefits and practicum placements;
Supervise 3-4 student assistants;
Monitor and help to maintain/improve the professional appearance, environment,
and service culture of the DI Office, in consultation with the Director of
Operations;
Act as a resource person/liaison for the DI between and among faculty, students,
staff and the University community, as well as members of the public;
In the absence of the Director, assume responsibilities of the Director;
Assume other responsibilities in line with this job description, as assigned by the
Director of Operations.

Assistant Director of DI: Schedule is Monday through Friday, 9:00 am - 5:30 pm with occasional Saturdays and frequent evenings.

  • Deliver high quality student programs that contribute to the students' education


Requirements
BA degree from an accredited university is required. Minimum of five years of related work experience, preferably in an academic environment. Experience working with Graduate students is a plus. Proven ability to function in a leadership capacity; working with minimal supervision and a high degree of autonomy in establishing priorities, making decisions, and carrying through tasks on deadline; Strong ability and commitment to working in a team environment;

Excellent verbal and written communication skills are a must. Experience strongly desired in word processing, spreadsheets, website maintenance. High customer service values and an exceptional level of professionalism are required; knowledge of MS Excel (specifically, advanced formulas, pivot tables and charts); team-oriented; commitment to efficiency, effectiveness, and excellence; dedication to evidence-based decision-making and evaluation; commitment to USF's Mission, Vision and Values.
