Departmental Overview

As a central service center for the entire campus, the Graduate Division works to guide and assist students from the moment of admission, through the various milestones of their progress, to the completion of their degree requirements. We provide academic, personal, diversity, and professional support services that are vital to the everyday well-being and life-long successes of Berkeley master's, professional, and doctoral students.

As the authoritative resource and chief advocate for graduate education, the Graduate Division ensures the equitable administration of policies governing graduate studies across Berkeley's 14 schools and colleges. As the administrative arm of the Academic Senate's Graduate Council, we partner with the faculty and staff of each program and the deans of each school and college to maintain the world-renowned quality of Berkeley's graduate education. By fulfilling those responsibilities, the Graduate Division acts as a steward for the generosity of supporters of graduate education at Berkeley.

In cooperation with the Graduate Division's Office for Graduate Diversity, Institutional Research Analyst and campus partners, the Director develops and implements a holistic vision for graduate recruitment, admissions, and enrollment for the, university. This role independently oversees the day-to-day operations for graduate admissions and the admission application system for the Graduate Division, including the supervision of professional administrative staff. Serves as compliance officer for Graduate Admissions, acting as key advisor to Graduate Division senior leadership and general campus. The Director administers the admissions policies of the Graduate Council, Graduate Division, and other agencies as applicable and provides leadership and oversees the intake and processing of approximately 40,000 applications, 8,000 admissions, and 4,500 matriculants to over 125 doctoral, academic master's, and professional degree programs. This position manages the online application system to ensure it meets legal guidelines for adherence to FERPA, ADA 540, and other regulations, as well as ensuring it is user-friendly while collecting necessary Berkeley information and leads efforts for admissions systems implementations, upgrades and enhancements. The Director collaborates with internal colleagues to create effective processes for collecting, analyzing, and reporting data related to graduate applications and admissions and also collaborates with various campus administrative departments to provide information about entering students. This role prepares and disseminates directives and guidelines to subordinate staff, departmental staff and faculty, and other stakeholders regarding admissions policy and procedures; reviews the content of appropriate informational training materials for staff or other audiences. The Director advises and recommends action to the Vice Provost for Graduate Studies on admissions for applicants who do not meet University minimum qualifications and works closely with the Assistant Dean for Diversity to implement diversity outreach and recruitment goals.


Application Development, Implementation, and Data Management
  • Develops, interprets, and administers an admissions and recruitment program.
  • Responsible for developing all aspects of the on-line admissions application. Works in close collaboration with the application vendor, Graduate Division systems staff, and enterprise system staff to ensure seamless functioning of admissions software and its integration with University systems. Makes certain the application is accessible, as simple to complete and as user-friendly as possible. Provides leadership and guidance to campus regarding adherence to FERPA and CA Privacy Act requirements.
  • Manages the effectiveness and efficiency of the application submission and review process; works collaboratively with campus partners to implement an effective and timely workflow for program reviews of admissions files.
  • Adopts a continuous improvement mindset in reference to the admissions process. During each admissions cycle, performs analyses of the process/systems, identifies problems and develops effective solutions. After each cycle, evaluates the results and implements improvements, with the goal of minimizing problems over time. Then incorporates those changes into the Graduate Division admissions business processes, which is updated annually.
  • Ensures the graduate admissions process adheres to all relevant institutional guidelines, policies, and procedures.
  • With the assistance of the Graduate Division systems and institutional research staff, ensures timely and accurate flows of data between the Graduate Division on-line application system, other application systems used on campus, e.g. SOPHAS and the Haas Business School, and the campus student information system.
  • Coordinates system audits to ensure data integrity and accuracy; works with application system vendor and the Office of the Registrar, Business and Payment Services, and other partner offices to resolve data issues; oversees data input, verification, record matching, and data cleaning; prepares and analyzes reports and compiles admissions data to satisfy various reporting requirements.

  • Provides leadership, in consultation with the Assistant Deans for Student Services and Diversity, the Vice Provost for Graduate Studies, and academic leadership of the campus's colleges and schools and departments, to set the vision and goals for overall campus graduate student outreach and recruitment activities.
  • Reviews internal and external data, including marketing analysis, to assist in setting enrollment goals, taking into account enrollment trends, capacity, and other factors.
  • In collaboration with Institutional Research Analyst, develop and implement processes for departmental and campus enrollment reporting, projections, and targets; generate and analyze reports related to enrollment goals.
  • Collaborates with Office for Graduate Diversity staff to meet recruitment goals, support various preparation and recruitment workshops and bootcamps, and liaise with departments to ensure best practices are followed across the variety of admissions committees campuswide.
  • Generate and analyze reports related to recruitment and marketing activities, propose budget allocation for such activities and in concert with Assistant Dean for Diversity, ensure that enrollment initiatives fully support and are in alignment with diversity and inclusion goals.
  • Assists departments in developing and evaluating their own effectiveness in outreach and recruitment activities, making recommendations for refinements as necessary.

  • Works in close collaboration with the Graduate Division Communications and Events office to develop a holistic admissions communications strategy that is inclusive, culturally competent, and effective at recruiting a talented and diverse applicant pool. That strategy will be multi-modal and will include high quality communications targeted at prospective students, applicants, and admitted students. This may include: application instructions, letters, and emails, along with other recruitment and/or application materials that appear on social media or other outlets.
  • Responsible for timely, accurate, consistent, and clear responses to inquiries from prospective students, applicants, and admitted students.
  • Oversees the development of training materials and presentations for departments, faculty readers, and office staff that employ best practices for the implementation of holistic admissions review.
  • Develops and maintains a library of Graduate Division Admissions Office policies and procedures and makes certain policies relevant to the public are effectively communicated on the Graduate Division Admissions website.
  • Keeps the Vice Provost for Graduate Studies, Assistant Dean for Student Services, Assistant Dean for Diversity, and other Graduate Division leadership informed regarding changes in departmental needs, legal, or other requirements related to application processing.

Supervision and Resource Management
  • Effectively manages, directs, and develops subordinate professional and support staff.
  • Makes decisions on performance, salary actions, hiring decisions and other human resources related issues of direct reports.
  • Provides guidance and assistance to subordinates on most complex issues.
  • Supervises the daily operations of the Admissions Office.
  • Serves as main Admissions Office collaborator with graduate programs and other University partner offices.
  • Serves as point of contact for external funding agencies, including international agencies and foundations, with regard to admissions issues.
  • Other related duties as assigned.

Required Qualifications
  • Advanced knowledge of graduate admissions processes, particularly in reference to the most effective holistic admissions practices and the impact graduate admissions has on departmental culture and academic outcomes; Clear awareness of how holistic admissions processes may vary among applications for doctoral, academic master's, and professional degree programs.
  • Demonstrated ability to work with and understand the needs of diverse student populations, preferably with expertise in supporting students and applicants with disabilities.
  • Collaborative leadership style, including the ability to navigate and leverage decentralized yet interconnected nature of departmental and administrative offices in regards to graduate admissions.
  • Knowledge of and passion for the goals and mission of the University as they relate to academic preparation, recruitment, and admission to graduate and professional degree programs, including state- and self-supported degrees.
  • Knowledge of organizational development strategies and practice. Political acumen that supports productive relationships with faculty and other campus leaders while managing change in process and protocols.
  • Leadership and change management skills, and the ability to guide, mentor and develop professional staff both internally and across campus.
  • Demonstrated knowledge regarding FERPA, CA IPA, and UC policies as related to admissions, enrollment, and administration.
  • Significant number of years of progressive experience in admissions, enrollment management, and/or administrative management in a student service area.
  • Bachelor's degree in related area and / or equivalent experience / training; advanced degree preferred
