The Assistant Director of Student, Professional and Community Affairs will play a lead role in supporting PharmD students in their academic success and personal well-being, an area of support mandated by the Accreditation Council for Pharmacy Education (ACPE). The ability to develop and maintain a professional and supportive rapport with students – as well as building and maintaining strong relationships across a team – is essential. The position serves as a link to UB campus resources, so the ability to proactively nurture these partnerships is vital.
Given its responsibility for supporting the academic success and personal well-being of approximately 500 PharmD students (either directly or indirectly), this position has a direct impact on the strength and reputation of the UB SPPS and its programs. The successful candidate will have experience in student advising, professionalism, stakeholder and employer engagement, program and project management, and strong written and verbal communication skills.
Responsibilities will include:
Student Success & Engagement
Develop and implement coordinated activities that support overall student well- being.
Develop and implement coordinated career development activities for students including planning of UB SPPS Annual Career Day, Student/Pharmacist Networking events as well as other social and/or professional programs. With associated data base management of pharmacy contacts
Develop and implement initiatives for overall student success and wellness, academic remediation support, life coaching, time management, study skills, and other areas of student support. Management of therapy dog program for exams.
Serve as liaison to UB SPPS student organizations: triage communication, assist with room reservations, track student membership and leadership/officer positions
Create and disseminate Fall and Spring Editions of the UBSPPS Student NEWS (publication for Pharmacy Students).
Academic Program Support
Advise current PharmD students individually and/or in groups on academic matters (i.e., core course registration, intern registrations, elective course selection, authorizations, licensing requirements and compliance, credit loads, course requirements, degree completion, etc.).
Provide information or refer current students to other UB SPPS staff as needed for drop/add, faculty codes, financial assistance questions, locker assignments, student lounge issues, etc.
Refer current students to UB SPPS faculty for professional and career advising, including employment, dual degrees, residency, fellowship, post-PharmD training and opportunities as appropriate.
Refer current students experiencing academic or personal problems to other UB resources such as Office of Financial Aid, Residency Office, Student Activities Office, UB Libraries, and Accessibility Resources for Students, etc.
Refer students involved in academic and/or behavioral misconduct to appropriate resources.
Collaborate with and provide backup support to the lead roles in Recruiting and Admissions and Undergraduate Advisement (or in the Office of Admissions & Advisement. Supports the recruitment of all SPPS graduate, professional and undergraduate students by participating in on and off campus recruitment events, prospective student information sessions, and programs such as Open Houses, Pharmacy Summer Institute, PharmD Interviews, Orientation and White Coat Ceremony.
Assist with Orientation planning and implementation in order to provide a smooth transition from incoming student to matriculated student.
Oversight Credentialing and Training Verification’s: The candidate must be able to interface with all the State Boards of Pharmacy for the management of pharmacist licensing and pharmacy-intern permit applications and verification of specialized training pertaining to licensure. Interface with various government agencies concerning pharmacist and student pharmacist professional issues
Develop and implement the programming for the All School Conference Schedule. Program & Project Management
Provide administrative support to the awarding of $400,000 Need based Scholarships. Provide high-level administrative support to UB SPPS Scholarship Process including development of new internal processes to align with University initiatives.
Plan and provide administrative support to the UB SPPS Annual Commencement Ceremony along with coordination of associated student awards.
Provide administrative support to Global Outreach efforts
Participate in the administration and management of student data as it pertains to their academic success, professional development, and personal well-being.
Manage the communication of our holistic support for students to external audiences including prospective students, peer and competitor schools, and the general practice community
Establishes and maintains organized and efficient files and records for the office and updates data and records as appropriate. Responsible for the administration, security, confidentiality and retention of office files.
Creates, composes and edits technical and/or administrative correspondence and documentation; prepares a variety of technical, statistical, financial and narrative reports, letters, memos or other written or electronic correspondence.
Actively involved in the re-accreditation process as required.
Assists in the coordination, control and completion of special projects as requested.

Bachelor’s Degree in Education, humanities, social sciences, life sciences, business,
communications, or related fields.
Two (2) years of academic engagement. Preferably in a higher education setting and in graduate or professional programs or similar experience.
Ability to provide comprehensive, holistic, relationship-based support to students enrolled in a rigorous higher education program
Ability to discern the boundaries of the scope of the advising role (differentiating it from mental health counseling, which is outside of its scope) and to make referrals to appropriate UB, UB SPPS or community resources depending on the situation.
Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.
Master’s degree in education, humanities, social sciences, life sciences, business,
communications, or related fields
Knowledge and understanding of current trends and research into student success factors in higher education
