Primary Function
This position is responsible for the development, marketing and management of Alumni Association and NIU Foundation events, and provides a wide range of full-service event planning support for all related events. The Events Administrator Associate interacts with alumni, donors, and prospects on a consistent basis in promotion of Northern Illinois University, NIU Foundation and the NIU Alumni Association.
Duties and Responsibilities (generally)
This position is responsible for the development, marketing and management of Alumni Association and NIU Foundation events, and provides a wide range of full-service event planning support for all related events. The Events Administrator Associate interacts with alumni, donors, and prospects on a consistent basis in promotion of Northern Illinois University, NIU Foundation and the NIU Alumni Association.

This position is responsible for facilitating and organizing all events for the Alumni Association and Foundation events, including ensuring all amenities, accommodations and related aspects are arranged, including but not limited to site selection, staffing, food and beverage selection, transportation, and audio or visual equipment.

All of these responsibilities are focused on enhancing the Foundation’s prospect pool and donor base before, during and following the campaign, and so requires continuous interaction with alumni, donors, prospects, deans, and boards. As such, this position requires excellent communications skills, the ability to relate complex event planning to every constituent, and the ability to oversee multiple events at a highly professional level.

As a primary point of contact with alumni and event attendees, the Events Administrator Associate must be able to represent the Foundation, University and the Alumni Association in a professional, enthusiastic manner with a customer service and team focus.
Minimum Required Qualifications for this position
1. Bachelor’s degree in Hospitality, Marketing, Public Relations, Communications, Business Administration, Student Affairs, or a closely related field.
2. Three (3) years professional work experience in Event Planning, Conference Management, Public Relations, Communication, Marketing, or any other related field.

Education and Experience Preferred
1. Bachelor’s degree in Hospitality, Marketing, Public Relations, Communications, Business Administration, Student Affairs, or a closely related field.
2. One (1) year of non-profit event experience, specifically related to Foundations or Alumni events.
3. Previous donor and board relations experience.
4. Certification as a CMP (Certified Meeting Professional).

9. Business proficiency in Microsoft Office Word, Access and Excel, including the tabulation of budget figures, creation of scenario planning tools and merging files; experience in enterprise systems for event and scheduling management.
10. Exceptional organizational and project management skills.
11. Excellent attention to detail.
12. Exceptional communication skills as there will be strong interactions with both internal and external constituents.
13. The ability to synthesize multiple sources of information.
14. Willingness to work extra hours, nights and weekends to ensure the job is done exceptionally well.
15. Ability to work autonomously, as well as manage several constituents.
