Position: Veterinary Medical Hospital Administrator

Location: School of Veterinary Medicine

Status: Full Time

Essential Duties and Responsibilities

  • Demonstrate professional and courteous interactions with faculty, staff, students, clients, and other constituents
  • Reinforce the objective to achieve the highest level of client service and satisfaction
  • Maintain a positive hospital image with the community, local government officials and professional associations
  • Work with the VMTH Director on marketing strategies and enhancement of community connections
  • Work with the VMTH director to plan, strategize and coordinate patient care services for a profitable hospital
  • Design, administer, and maintain standard operating procedures/system for hospital operation
  • Establish goals for hospital operation in alignment with the mission of the College and the University
  • Prepare the annual operating budget for the VMTH in consultation with the VMTH director and clinical department heads for submission to the Dean
  • Oversee basic budget fiscal accounts in Veterinary Medical Teaching Hospital-administration, diagnostic services, teaching/animal care, central supply, pharmacy, ambulatory, clinical proficiency examination, and other educational programs/initiatives
  • Create reports to analyze the effectiveness of the hospital in reaching financial goals and budget maintenance; prepare financial and other operational reports as needed; and initiate end-of-month and end-of-year reports
  • Participate in the process of hiring staff within the VMTH; supervise staff to maintain current hospital inventory and other duties
  • Develop an effective team through regular meetings for continuous enhancement of hospital operations; complete staff performance appraisals as assigned to the unit
  • Recommend changes in software, business forms, policies and procedures to improve the operational efficiency of the VMTH
  • Assist the VMTH Board in establishing and maintaining up-to-date fee schedules and price lists for professional services rendered and products sold
  • Work with Medical Records to maintain current and accurate records to drive revenue and manage costs for sustaining the hospital financially; performs quality checks and reviews of client files
  • Oversee collection, safeguarding and reporting of all funds received in the VMTH; verify the accuracy of daily cash receipts reported by the Accounting Clerk
  • Establish credit authorization for charge purchases
  • Monitor client credit account balances and initiate collection actions on delinquent accounts
  • Communicate with clients and vendors regarding billing or credit matters and take appropriate action
  • Establish effective management practices regarding accounts payable; ensure vendors are paid in a timely manner; manage client and vendor relationships to enhance hospital operations
  • Perform other duties as assigned

Qualifications

  • Must have a Bachelor’s Degree in Business Management, Accounting or closely related field, or a Master of Business Administration (MBA); medical degree in a health-related field are also acceptable
  • Must have a minimum of five (5) years of managerial experience in a veterinary hospital setting or a human medical facility
  • Must have experience in budget administration and managing a business for profitable sustainability
  • Must possess knowledge of organizational financial practices and procedures
  • Must have demonstrated customer service experience in a business or medical environment
  • Should have knowledge and understanding of hospital economics and human resources
  • Should have knowledge of clinical information systems and implementation in an educational environment
  • Must have excellent communication, organization, and time management skills
  • Must have demonstrated organizational staff supervision and leadership experience, appropriate management skills, decision-making abilities, problem-solving abilities, and conflict management skills
  • Must have the ability to communicate effectively, openly, and honestly with diverse groups and stakeholders (verbal, written and electronic methods)
  • Must have effective interpersonal skills to function in a business/educational environment
  • Must have experience with computer and office software (Microsoft Office, Excel, practice management software, etc.)
