Job Description

The Summer Guest and Conference Manager, directly and indirectly, ensures the business development, promotion, client relations, and effective management of Summer Conference Services at Stevens. Reporting to the Associate Director of Business Operations, this position is accountable for facilitating the expansion and development of guest and conference services to meet revenue goals and support Stevens’ mission and values.

 

RESPONSIBILITIES INCLUDE:

Business Development

· Expand the business development and delivery of conference services for internal and external groups and interns, including but not limited to existing and new educational, community, cultural, athletic, and wellness-oriented organizations.

· Coordinate with key campus partners including Facilities, IT, Campus Card, and our dining vendor to plan for expanded services in Summer 2023.

· Assess cross-functional and inter-departmental processes and coordinate with campus partners to optimize efficiency

· Coordinate with University Events to integrate Summer Facility rental process with the Summer Guest Housing process

· Oversee necessary university compliance, policy, and contract development, coordinating with key stakeholders

· Ensure and measure client satisfaction

· Proactively identify potential conflicts regarding space, scheduling, and between groups, before they develop, and resolve any conflicts that arise in a timely and effective manner 

· Assist campus departments and schools with projections of conference-related pricing for expense and budget planning purposes.

Marketing & Communication

· Develop a marketing strategy and plan in order to:

o Establish which markets would be best to target outside the Stevens community

o Promote University housing, dining, and facilities for summer conferences and interns.

· Develop and manage a website and social media platforms. Website should streamline registration and administrative processes for housing, dining, and facility rentals.

· Develop summer marketing materials for different customer segments

· Develop welcome communication to familiarize guests with Stevens and the surrounding area, and provide information about living at Stevens, policies, and campus safety. 

Operations Management & Customer Service

· Serve as the main point of contact for all summer guests. Develop exceptional relationships and manage guest experiences to promote repeat customers.

· Administer housing and dining reservations, bookings, and invoicing using Mercury/RMS housing software

· Oversight of Conference Operations, including but not limited to, check-in and check-out processes, and managing required paperwork for all summer guests.

· Hire, train, and manage Conference Services Assistant and student staff.

· Ensure attendee rosters and emergency contact information are distributed weekly to those on call.

· Ability to work well with both internal and external partners, and various vendors to ensure the best possible service to summer guests.

· Respond to crisis and critical incidents as needed; serve on a 24/7 crisis response rotation.

· Other duties as assigned.

 

POSITION QUALIFICATIONS:

· A Bachelor’s degree in Business, Project Management, Marketing, Event / Hotel Management, or a related area.  Master’s degree in same areas preferred.

· 5-7 years of relevant experience in Business, Project Management, Marketing, or Event / Hotel Management demonstrating progressive responsibility.

· Minimum 2 years of direct supervisory experience.

· Excellent organizational, communication, and technology skills

· Ability to manage multiple projects.

· Exceptional Customer Service skills.

· Proactive and self-motivated; able to prioritize and achieve goals with moderate supervision.

· Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint required.  Experience with housing software such as Mercury RMS or StarRez is a plus.

· Excellent relational, verbal, and written communication skills

· Able to work with all students, staff, and faculty regardless of race, gender, and ethnicity tactfully, and ensure all guests have a great residential experience.

 

ADDITIONAL INFORMATION:

·Candidate must be able to work some nights, weekends, and holidays as needed.

 At the discretion of the supervisor, this position may be allowed to work on a hybrid basis from September through March.  This position is entirely in-person on the Stevens campus
