Job Description

Stevens Institute of Technology seeks an enthusiastic, innovative, and visionary leader to serve as Director of University Events. The successful candidate will bring creative leadership, dedication, and expertise to the University community and to the Division of Student Affairs. Working collaboratively with colleagues across the institution, the Director of University Events oversees all aspects of the Office of University Events. The Office of University Events serves the campus by providing leadership for a wide range of campus events, manages space reservations for the institution, and supervises the University’s Welcome Desk. This position reports directly to the Vice President for Student Affairs and requires working in-person, including on some evenings and weekends as needed. 

Responsibilities 

  • Manage and direct all operations in University Events to ensure excellent customer services and to provide outstanding technical expertise, competitive charge rates, financial stability, and appropriate coordination among internal units and external vendors  

  • Oversee the daily activities of the Office of University Events; recruit, supervise, train and evaluate staff 

  • Execute all vendor contracts in accordance with department and institutional policy 

  • Manage all rental and licensing agreements, including the development of cost estimates 

  • Responsible for the annual planning and execution of the undergraduate and graduate Commencement Ceremonies as well as other major campus events and traditions including Orientation, New Student Convocation, Fall Festival, Career Fairs, Accepted Students Weekend, Innovation Expo, Awards Ceremonies, Alumni Weekend, and more. 

  • Plan, organize, and implement conferences and events for the University community; provide support to students, faculty and staff as they plan and implement events 

  • Market and promote University venues as a host site for external partners to host conferences and events 

  • Coordinate scheduling of major campus events and maintain an annual major event calendar 

  • Manage and plan high profile events for offices including the Office of the President, Office of the Provost and the Division of Development and Alumni Engagement, among others 

  • Share in the oversight and administration of the CourseDog campus scheduling software platform; serve as the primary manager of campus space reservations 

  • Coordinate with campus constituents to ensure campus event spaces are properly maintained and campus improvement projects are scheduled appropriately 

  • Develop, maintain, and reconcile detailed budgets in a timely manner 

  • Assure compliance with federal, state and local laws and regulations, as well as Stevens Institute of Technology policies 

  • Contribute to the overall success of the University and the Division of Student Affairs by performing all other duties as assigned

Qualifications 

  • Bachelor’s degree required; master’s degree preferred 

  • 5 to 7 years of event management experience, preferably including at least 3 years of supervisory experience 

  • Excellent contract negotiation and culmination skills 

  • Communicate effectively and work collaboratively across units; strong customer service orientation 

  • Acute attention to detail and commitment to high standards of service excellence 

  • Ability to manage multiple projects in a fast-paced environment 

  • An innovative approach to planning and implementing events
