Assistant Director, Special Events

Position Summary

The Assistant Director, Special Events will report to the Director, Special Events and assist the entire University Advancement Special Events team in delivering a comprehensive and cohesive events management program for all University Advancement constituents. The Assistant Director will serve as the primary event lead for several Athletic events supported by University Advancement including golf outings, former athlete gatherings and donor cultivation events. Additionally this position will be responsible for planning, administering and executing events related but not limited to the Campaign, Reunion Weekend and Homecoming Weekend including meetings, receptions and dinners. The Assistant Director is required to work through University Advancement's special event procedures to ensure all events are consistently executed with the highest level of quality, are cost-effective and overall support the University's mission. The incumbent must have excellent interpersonal and communication skills as well as the ability to work collaboratively with internal and external constituents. The ability to travel as well as evening and weekend work hours are necessary for this position and will vary throughout the year.

Duties and Responsibilities

  • Serve as the primary event lead for several key Athletic events supported by University Advancement. Responsible for the planning details of the events which include but are not limited to working with vendors, creating menus, dcor, programing and event flow, collateral materials, gifts, accommodations, transportation, budget, etc. to ensure all events are successful.
  • Serve as the primary event lead for other University Advancement events and assist the entire team with signature events such as Family Weekend, Homecoming and Reunion.
  • Utilize eTouches, our event management software to assist with sending electronic save-the-dates and invitations, managing the invite list, creating registration pages, collecting payments, recording all RSVPs, and finalizing attendee information.
  • Maintain positive working relationships with internal and external constituents to ensure effective execution of events.
  • Perform additional duties as assigned as assist with special projects as assigned.


Minimum Qualifications

  • Bachelors Degree required.
  • Event planning certification preferred.
  • Strong knowledge of event planning and relationship management required. Ability to manage and reconcile budgets is required. Prior experience with eTouches and SalesForce preferred.
  • Minimum of three (3) years experience in event management.
  • Strong interpersonal communication skills.
  • Ability to handle multiple tasks and changing priorities in deadline sensitive environment.
  • Highly detail oriented.
  • Knowledge of PC Hardware & Software packages (BANNER, Sales Force, eTouches).
  • Must be willing and able to travel by personal auto and public transportation, including air travel, for site visits and events.
