Position Summary

The Assistant Director of Admission will represent the University at select on and off-campus programs (i.e. high school visits, college fairs, group information sessions, case studies, panels, RACC (Regional Admission Counselors of California) programs, etc.) for recruitment and yield purposes in the Western Region of the country (defined as Alaska, Arizona, California, Idaho, Montana, Nevada, New Mexico, Oregon, Utah, Washington, Wyoming) and will preferably reside in the Los Angeles area. This person is responsible for organizing, implementing, and managing Villanova's recruitment efforts and yield activities, as well as the enhancement and continued maintenance of the volunteer Alumni Recruitment Network (ARN) from said region. This individual will also holistically read and assess all applications for admission from the Western Region and serve as a resource to students, parents and school counselors throughout the application process. Extreme confidentially is required in regard to recruit and applicant information. This individual will also manage the Book Award program and coordinate all off-campus spring yield receptions for the entire Office of University Admission.

In addition, this individual will also serve as an integral team member relating to initiatives that are aligned with the University Strategic Plan and designated by the leadership of the Office of University Admission. It is expected that this individual will travel back to campus six to eight times a year including participation in on-campus recruitment, yield events, retreats, committee review work, etc. Extensive travel, weekend and evening hours are required.

Duties and Responsibilities

  • Coordinate, schedule and implement extensive travel and recruitment in the Western territory. This could include ten to twelve weeks during the fall and up to four to six weeks during the spring. This individual is responsible for the identification of high schools and programs (college fairs, Villanova nights, counselor breakfasts, admission panels, meeting with alumni, etc.) based on data-driven decisions to significantly increase the Universitys visibility in attracting gifted, talented and diverse students from the region.
  • Maintain and adhere to a budget for recruitment and yield activities in the region and provide a detailed record of expenses.
  • As the primary contact for the Western territory, maintain and enhance relationships, and communicate with prospective students, their families and school counselors on an on-going and personal basis, via e-mail, telephone, personal meetings, Skype, etc. This would include answering questions regarding the admission process, scholarships, financial aid, visits to campus, etc.
  • Coordinate all activities for the volunteer Alumni Recruitment Network (ARN) and the Parents Committee from the Western territory. This includes working with the Senior Assistant Director responsible for alumni volunteers to help develop a plan for deploying ARN members to recruiting and yield events (e.g., high school visits, participation in college fairs, conducting phone-a-thons, writing letters, hosting yield receptions, etc.).
  • Holistically review and assess all applications in the assigned territory and assist with the reading of applications from other regions (~2,000 2,500 applications) using Slate. Be actively involved in final round admission committee review of Early Action and Regular Decision candidates.
  • In partnership with Villanova admission colleagues, plan, oversee, promote and coordinate the annual regional off-campus spring yield receptions conducted throughout the country. This includes the design, printing, and mailing of the invitations and posting on the admitted student website.
  • In collaboration with the Villanova Alumni Association Office, manage the Book Award program for juniors in high school.
  • This individual will also serve as an integral team member relating to initiatives that are aligned with the Universitys Strategic Plan. Placement in appropriate teams will be determined based on the individuals experiences and the needs of the Office of University Admission. Perform other duties and tasks as assigned relating to the recruitment of prospective students and the yield of admitted students.
  • When back on campus, assist with information sessions and serve as Counselor of the Day (COD), which involves meetings and answering questions with visiting students, families, and school counselors.
  • Perform other duties and tasks relating to the recruitment and enrollment of prospective students, including but not limited to serving on various committees throughout the year that enhance the development and continuous improvement of University initiatives.


Minimum Qualifications

  • Bachelors degree is required.
  • In-depth understanding of the college admission process is required along with the experience of at least two to three full admission cycles (recruitment, application review, selection, and yield phases).
  • 2-3 years of administrative and counseling experience in an office of university/college admission.
  • Strong written and oral communication skills are required. In addition, the individual must be extremely organized and be able to work independently, manage their budget allocation for recruitment and special programming, and be able to work as part of a team both in the office and in the wider campus community. The individual must also have a valid drivers license, and be comfortable with air travel.


Preferred Qualifications

  • Masters degree is preferred.
  • In addition to basic knowledge of office equipment, it is preferred that the individual have experience with the following technologies: Slate , Banner, Nolij, Microsoft Word, Excel, Power Point, Concur, Prezi, etc., in order to review applications, track inquiries, run reports, manage travel expenses, etc.


Physical Requirements and/or Unusual Work Hours

  • Will need to stand for up to three hours at a time at college fairs; will need to lift boxes of college materials approximately 15 lbs), etc.
