Associate University Registrar & Director, Degree Audit & Graduation Center

Job Summary:


The Associate University Registrar and Director, Degree Audit & Graduation Center has primary responsibility for degree evaluations and oversees the work of the Graduation Center. The Associate University Registrar develops and enhances the programs, services, and systems of the Graduation Center. Working closely with the Department of Athletics, the Associate University Registrar manages the degree evaluation process for USF student-athletes in order to ensure their NCAA athletic eligibility and timeliness to degree completion. The Associate University Registrar assists the Senior Associate University Registrar & Director of Program & Curriculum Management in the planning of the University's Commencement ceremonies, with direct responsibility for the Commencement Marshal Program.

Job Responsibilities:


1. Oversee the work of Graduation Center.
2. Develop and enhance the programs, services, and systems of the Graduation Center.
3. Manage the degree evaluation process for USF student-athletes in order to ensure their NCAA athletic eligibility and timeliness to degree completion.
4. Keep current with NCAA compliance policies and requirements.
5. Manage the Commencement Marshal Program.
6. Assist in planning Commencement Ceremonies.
7. Manage Grad Finale events.
8. Serve as a resource to other staff, online students, and alumni in interpreting policies and procedures relating to all Registrar services and programs.
9. Familiarity with FERPA and student records privacy issues.
10. Serve on system development and implementation teams, University committees and task forces.
11. Provide excellent customer service to students; telephone, fax, and email inquiries.
12. Review customer issues; use judgment and discretion to act when precedents do not exist.
13. Generate correspondence to students, staff, and faculty in relation to students academic records, including the progress of graduation candidates toward completion of degree and program requirements.
14. Coordinate the registration system settings and calendar with the Senior Associate University Registrar and Associate University Registrar for Academic Services.
15. Work with colleagues on SEMs Integrated Enrollment Communications team.
16. Record appropriate grade changes, transfer credit, change of academic programs, and substitutions and waivers of degree and program requirements.
17. Research and resolve inaccuracies and inconsistencies with students records; correspond with students throughout the resolution process.
18. Evaluate academic records of graduation candidates to determine their eligibility to participate in the commencement exercises, monitor their degree completion and post degrees.
19. Participate in the reconciliation of degree and program requirements in the degree audit system with curriculum requirements published in the University Catalog, Schedule of Classes, and other documented revisions to same from the Universitys various schools and college.
20. Participate with Strategic Enrollment Management managers, Information Technology Services colleagues, and representatives of the schools and college in the decision-making process regarding both long and short-term plans for the design, effective use, and improvement of the degree audit system.
21. Collect and analyze data in areas of responsibility: develop and present data to senior managers and executives.
22. Manage the maintenance of content for the Graduation Centers web pages.
23. Interpret University policies and procedures for students, faculty, and staff.
24. Participate in the purging and archiving of academic records.
25. Document the programs, services, and procedures of the Graduation Center.
26. Document the programs, services, and procedures of the Commencement Marshal Program.
27. Serve as alternate to other staff positions during periods of vacancies, vacation, and illness.
28. Perform other duties as assigned.

Minimum Requirements:


Bachelors degree.
At least 3 years as an Assistant Registrar or equivalent increasingly responsible experience in student services and managing customer services.
Experience managing customer services in education programs desirable.
Must have related experience in applying problem solving and customer service skills to a diverse clientele.

Additional Knowledge, Skills, and Abilities:


Excellent oral and written communication skills.
Ability to provide accurate information and develop a thorough understanding of the Universitys general regulations and office procedures.
Ability to anticipate and recognize customer service needs for USFs students and to translate those needs into effective customer service delivery, consistent with the Universitys general regulations and office procedures.
Desktop computer proficiency:
Create, revise and print MS Word documents and Excel spreadsheets.
Experience with Windows operating system.
Experience with e-mail, including opening and sending attached files.
Experience in locating information and specific pages on the World Wide Web.
Ability to work independently, effectively, and collegially with faculty, deans, staff, and senior administrators.
Ability to develop and maintain professional relationships.
Excellent oral and written communication skills.
Occasional evening and weekend work expected.
Motivating, positive personality.
Respectful, friendly, and accountable.
Excellent customer service skills.
Superior problem-solving and multitasking skills.
