Assistant Athletic Director Business & Internal Operations

University of San Francisco


Job Summary:

The Assistant Athletic Director for Business Operations reports directly to the Deputy Athletic Director at the University of San Francisco. The Assistant Athletic Director for Business and Internal Operations will be a member of the University of San Francisco Athletic Department and will oversee a broad range of internal programs and activities including but not limited to budget and finance, human resources, and ticket auditing for the athletic department.

Job Responsibilities:

Administration:
1. Develops and implements department wide policies and procedures for internal operations to improve efficiency.
2. Provides guidance to technical/professional staff and student workers for all administrative support services.
Budget and Finance:
1. Assure that all Athletic Department units comply with Athletic Department and University fiscal policies and procedures. Develop new, or modify existing, policies and procedures when needed.
2. Coordinate the maintenance of effective financial management information systems to assure the timely, accurate dissemination of financial data within the Athletics Department.
3. Serves as liaison between the Athletics Department and the fiscal offices in the University on matters related to budget preparation and implementation and financial management. Assists units in areas of budget preparation and implementation. Reviews budget requests from athletic department units.
4. Supervises the maintenance of complex budget records for all funds including sports, support units and administrative units. Determines appropriateness of expenditures within University, WCC, and NCAA policies and guidelines.
5. Plans and supervises the preparation of a variety of financial, enrollment and other reports, and prepares reports for the athletic department, University central administration, the Federal Government, the NCAA and/or other outside organizations.
6. Assists in the analysis of fiscal problems. Collects information required for planning, develops possible approaches to problems, and works with appropriate personnel to implement final decisions.
7. Reviews all staff including travel requests, fund transfers, and other requests.
8. Supervises (1) one full-time Business Manager and graduate student business office assistants. Work to create policies and procedures regarding ticket accounting and reconciliation between the Universitys general ledger and NeuLion.
Human Resources:
1. Serve as a liaison to the University Human Resources and Payroll Offices.
2. Administer in conjunction with Human Resources all human resource and personnel operations including search, hiring, orientation, evaluation, and termination processes.
3. Manage the departments hiring process, to include assisting supervisors with preparing all required hiring documentation and search plans. Assist where needed with actively identifying and screening candidates for open positions.
4. Work with supervisors to maintain updated position descriptions and organizational charts.
5. Manage the departments annual evaluation process.
6. Develop, implement, communicate, and monitor procedures and controls for various human resources and payroll processes and initiatives.
7. Administer and supervise department EPAFS for Athletic Staff, student and part-time employment.
University Liaison:
1. Work to develop relationships with individual campus departments to ensure adequate communication between the Athletic Department and the University.
2. This includes but not limited to Office of Accounting and Business Services, Human Resources, and other internal departments.
Other responsibilities as assigned.

Minimum Requirements:

Requirements:
Bachelors degree required, Masters preferred. 5+ years of experience in athletic business administration at the collegiate level. Experience with financial management in an athletic setting. Excellent interpersonal, communication, and written skills. Knowledge of the mission and goals of the Athletic Department and the University of San Francisco. Thorough knowledge of NCAA rules and regulations and that application of those to all situations. Ability to assist and supervise staff in situations that may involve rules violations. Experience with interpretation of NCAA rules, regulations, and interpretations.

This position, along with all coaches and staff, is responsible for the integrity of the University of San Francisco Athletics Program and for the reputation of the University of San Francisco. This position is responsible for insuring that his/her involvement with Athletic Department activities maintains the integrity of the Universitys reputation and does not negatively impact the relationship between the University and its faculty, staff, students and alumni. Additionally, this position must comply with University policies and procedures, NCAA and West Coast Conference rules and regulations.
